Role or Purpose of Position
Vitamin Angels is seeking an experienced Administration & Accounting Coordinator for its Asia region, seated in Manila, Philippines.
This new role will act as a key liaison between regional program teams, VA finance department, and vendors, to streamline workflows, strengthen internal controls, and reduce administrative burden across the region. This role will support regional program operations by ensuring accuracy, compliance, and efficiency across vendor management, vendor invoice review & reconciliation, budget/forecasting support, and any other regional tasks.
Major Duties and Responsibilities
- Vendor and contracting management and ongoing support. Assist country procurement by taking lead in identifying, vetting, and selecting qualified vendors.
- Review and reconciliation of expense reimbursements and credit card charges for in-country advisors to ensure adequate documentation, accuracy, completeness, and VA policy compliance.
- Review and reconciliation of cash advances, and subsequent follow-up, from program teams to ensure amounts are reasonable, policy-compliant, and submit to Program Advisors/Officers for review.
- Budgeting and reporting support including assisting budget managers in preparing annual budgets/quarterly reforecasts, monthly compilation and distribution of financial reports to Program Advisors and in-country teams.
- Assist finance and local teams in banking, tax and compliance activities (renewal/updating of SEC registration, BIR registration, Local government unit permits, DSWD Importer Accreditation, etc.).
- Serve as facilities and office manager for in-country offices and interact with landlords and utility vendors, as needed.
- Coordinate meetings, booking & coordinating travel and events, including facilitation of transport, accommodations, venue, meals, etc.
- Undertake other related tasks and responsibilities as assigned to support the effective functioning of regional operations.
- Administrative support to program planning, management, and implementation, such as documentation of all procurement activities, payment tracking, timely procurement of office tools and subscriptions, and maintaining vendor database.
Knowledge, Skills, and Abilities (Minimum, Necessary, and Desired)
Minimum:
- B.Sc. degree in a relevant discipline (accounting, finance) from an accredited university or relevant equivalent experience
- Minimum 3–5 years of relevant experience in accounting, financial administration, or office operations
- Proficient in financial management systems, accounting software, and Microsoft Office Suite
