Role or Purpose of Position

As the IT Project Manager, you will work in a dynamic environment with a remote workforce and diverse IT systems. You will be an instrumental partner, assisting the IT Director and collaborating with internal teams and tech partners to define, implement, and maintain IT projects driving our organizational goals. You will lead initiatives, ensuring timely, cost-effective delivery that meets quality standards. The IT Project Manager gathers requirements, defines scopes, manages resources, conducts testing, and offers user support. This is an exciting role demanding tech proficiency, project management skills, and outstanding communication skills.

Major Duties and Responsibilities

  • Collaborate with the IT Director, Managed Service provider, and department heads to effectively define and implement IT projects. 
  • Lead a portfolio of pivotal large-scale, long-term, and intricate projects emphasizing security, data integrity, and system infrastructure simplicity.
  • Define project scopes, objectives, and deliverables in collaboration with stakeholders. 
  • Develop project schedules, allocate resources, and manage project timelines effectively. 
  • Create system test scripts and conduct system testing to ensure quality and functionality meet requirements.
  • Perform detailed risk assessments for various projects to identify and mitigate potential risks effectively.
  • Create comprehensive documentation for projects, including user manuals and standard operating procedures. 
  • Communicate project updates, milestones, and changes to end users and stakeholders. 
  • Monitor project progress, track expenses, and report on project status for schedule and budget adherence. 
  • Establish operational practices to maintain the health and performance of implemented projects. 
  • Provide training and support to end users on systems and processes. 
  • Offer ongoing specialized support for implemented systems, troubleshooting issues, and optimizing performance. 
  • Manage a diverse user base comprising Windows PCs, Mac computers, Apple devices, and Android devices, ensuring comprehensive compatibility and robust support across all platforms.

Level of Decision-Making

Within the bounds of VA’s mission, values and policies, and sound professional practices, the IT Project Manager has the discretion to use independent judgment to make decisions of significant consequence that affect VA clients, partners, and employees.

Organizational Relationships

VA operates under a collaborative, matrix management model. The IT Project Manager establishes their own daily work priorities and ensures that all responsibilities are conducted consistent with accepted best practices, sound professional judgment and within an established schedule and budget.

Supervises: None
Primary working relationships: Director, IT; MSP; Sr. Systems Analyst; Database Administrator
Travel required: Minimal to none

Qualifications and Skills (Required and Preferred)

Required:

  • Must have at least 5 years of proven experience in IT project management, ideally within a remote work setting. 
  • Experience with project definition, scheduling, resource allocation, testing, documentation, and communication. 
  • Solid background in IT support on both Windows and Mac platforms, technical project implementation, and business analysis, including technical troubleshooting. 
  • Excellent communication skills, with the ability to collaborate effectively with cross-functional teams. 
  • Strong understanding of project management methodologies, tools, and best practices. 
  • Detail-oriented with a focus on delivering high-quality results within specified timelines and budgets.
  • Experience with or comparable SaaS applications: 
  • Microsoft 365, Egnyte, Zoom, Google Workspace, Adobe, KnowB4, Slack and Dashlane, 2FA authenticator support, Salesforce, Sage Intacct, and ClickUp (or other PM tools) 
  • Candidates with experience in highly regulated industries (healthcare, finance, higher education, etc.) are strongly encouraged to apply.    
  • Ability to remain seated and/or stationary for extended periods of time, including but not limited to prolonged air travel, and general job assignments performed at a desk. 

Preferred (not required):

  • Project management certification (e.g., PMP, PRINCE2). 
  • Bachelor’s degree in Computer Science, Information Technology, or a related field.
