Role or Purpose of the Position

The Program Administrator Consultant will work closely with Program Assistant Consultant and Program Coordinator Consultant to provide support for the organization’s programmatic and administration work. The Program Administrator Consultant will be responsible for carrying out activities related to program finance and administration, including managing schedules, archiving data, and operationalizing existing systems. The Program Administrator Consultant will coordinate with Program Assistant Consultant and Program Coordinator Consultant, as well as various contractors. 

Major Duties and Responsibilities

  • To perform secretarial and administrative duties within the program.
  • Compiles periodic reports on the basis of general instruction.
  • Provide support in the planning, logistics, and management of events, meetings, workshops, training sessions, and activities related to the interest of the division/ program, including accommodation, travel, invitations, equipment, and other technical matters so that activities run smoothly. 
  • Take responsibility for documenting and disseminating accurate minutes of staff meetings. 
  • Provide support in making travel arrangements for staff, including hotel bookings, ticketing, and travel insurance. 
  • Managing office supplies and stationeries. 
  • Manges logs, archives, and data. 
  • Prepare materials needed by the program to create program reports. 
  • Use Vitamin Angels standard tools like Salesforce and ODK Collect for core activities related to planning, budgeting, implementation, reporting, and generating data for evidence-based programmatic decisions and analyses. 
  • Assist the Program Manager Consultant in developing an annual plan, three years plan, and five years plan. 
  • Communicate with relevant parties within and outside VA in Indonesia regarding administrative matters in program and other activities. 
  • Travel, as requested. 
  • Perform other relevant duties, as required. 

Knowledge, Skills, and Abilities

Required:

  • Bachelor’s degree in management, secretary, finance, administration or a relevant field 
  • Minimum 1 year of experience in similar position 
  • High level of attention to detail and fluency working with highly technical information 
  • Ability to work independently with minimal supervision 
  • Highly organized and detail-oriented 
  • Strong outreach and verbal communication skills 
  • Fluency in written and spoken English required; additional languages a bonus 
  • A passion for the mission and work of Vitamin Angels 
  • Demonstrated ability to work well under pressure and manage multiple work streams 
  • Ability to manage stress, including but not limited to, stress resulting from local and foreign travel, large crowds, open spaces, shared office space, and daily activities
